Virtual Participation FAQ
13 - 14 March 2024
The meeting will be held at the Hotel Bedford Brussels Hotel & Congress Centre with the possibility to connect online in a virtual meeting room.
The meeting will start at 09:00 am (Brussels local time) on 13/03/2024.
The registered participants will receive the connection details for the events by email in due time.
WORKING LANGUAGES
The working languages of the meetings will be English.
EQUIPMENT
For this virtual event the ZOOM meeting tool will be used. Shortly the briefing document will be communicated to all registered participants. The briefing document on how to use ZOOM, could be find via the link: ZOOM briefing file.
Before attending the event, please ensure that your microphone and headphones work correctly. If possible, use a headset microphone and headphones to avoid echo and background noise.
We advise to download the Zoom programme on your desktop to have a full set of options. You can also use Mozilla Firefox or Google Chrome browser, but this format could have some limitations (fewer functions).
For best experience use cable internet connection. If using wi-fi connection, disconnect other devices connected to the same wi-fi stream.
We would kindly ask you to only activate (unmute) your microphone when you have the floor.
SETUP & LIGHTING
Pick quiet environment where you won’t be disturbed, mute TV, mobile phone and landlines. Best to have light coloured uniform background e.g. white/grey wall. Get clear good light on your face.
JOINING THE MEETING
Prior to the event you will receive an invitation with a link to join the meeting as well as a password. Please log on to the conference 20-30 min in advance for the final technical checks. In the morning, the link for the meeting will be sent to you again, to make sure you have the necessary information handy.
When entering the virtual meeting room, write the Country / Organisation you represent followed by your first and last names.
