Practical Information

Venue

The event will take place at the Albert Borschette Conference Center, located at Rue Froissart 36, Brussels, Belgium. The conference will be held on the ground floor in room 0D

Travel rules

The travel arrangements are done by the contractor on behalf of the Commission and the costs are covered by the Commission.

Please note that you must provide all necessary travel information within the deadline stipulated in the communication by Cecoforma. If you do not complete the travel arrangements form within the deadline, the Commission will not provide any travel arrangements for you.

The travel expenses will be covered according to the rules & budget governing the transport of European Commission officials.
You are responsible for obtaining all required travel documents / visa and for complying with all laws, regulations, orders, demands and travel requirements of countries to be flown from, into or through which you transit.
The organisation shall not be liable for the consequences to any passenger resulting from his or her failure to present a non-valid document or a different document than the one registered on this website.

Travel arrangements

Bookings will be made based on the timing of the event and according to the availability of flights/trains and prices. You will receive your electronic ticket by email. Please doublecheck that your name and first name are correct, as your electronic ticket will be issued based on this information. Once issued, tickets are neither changeable nor refundable.
Your plane tickets will include one cabin luggage. 
If you wish to have a checked luggage , you will have to pay an extra cost directly with the airline company.
NOTES:
>> If you make your own arrangements, your tickets will not be refunded.
>> Taxi, parking and public transport will not be reimbursed.

Accommodation

The accommodation block bookings are done by the contractor on behalf of the Commission. You will have to pay for accommodation costs and will be reimbursed by the Commission. Please note the block booking release date below, after that the mentioned dates, you will need to secure your own accommodation which will be reimbursed at the rate mentioned below.

The European Commission will cover up to 1 or 2 nights of accommodation (single room with breakfast) from 04 to 05 or 06 February, based on your travel schedule. An additional night may be covered only if no convenient flight options are available. Please note, accommodation allowance for 1 night at the hotel of your choice is equivalent to 168 EUR.

BW Plus Park Hotel (please fill-in the form and send it to info@parkhotelbrussels.be before 7th of January in order to make the booking with the special rate)
Novotel Brussels Off Grand'Place (please fill-in the form and send it to H3152-RE1@accor.com before 20th of December in order to make the booking with the special rate)
NH Grand Place Arenberg (please use the link before 27th of January in order to make the booking with the special rate (subject to availability)

NOTES:
>> If you wish to stay in a double room (2 persons) or if you wish to stay extra nights, the surcharges will be at your own expense. 
>>All extras are at your own expense (telephone, minibar, parking etc).

Catering 

Lunch, dinner, and coffee breaks will be offered by the European Commission. 

Cancellation and no-show policy

If you have to cancel your attendance, we kindly ask you to inform us as soon as possible, by sending an e-mail to ECOPP2025@cecoforma.com so we can give another participant the possibility to join the event.
