Virtual Event FAQ
The above event is organised by the European Commission (DG NEAR). The event is financed by the European Commission - DG NEAR within the framework of the ENI East Instrument.
VENUE
The meeting will be held online in a virtual meeting room using the ZOOM meeting tool.
The event will start at 09:15 CET on 23/11/2021.
On the afternoon of 22 November 2021 you will receive connection details for the event.
WORKING LANGUAGES
Simultaneous interpretation English and Russian will be provided during plenary sessons only.
Please note that you can only switch language if the Zoom tool is downloaded as application on your computer. There is no option for switching languages if the meeting is joined via an internet browser.
SPEAKER'S PRESENTATIONS
If you have a presentation to support your speech, please make sure to contact eleni.fedorova@cecoforma.com to book an quick training session. PowerPoint presentations and/or videos must be sent in advance to the mentioned e-mail.
EQUIPMENT
For this event ZOOM meeting tool will be used. For the best experience, we suggest using a desktop or laptop computer and the internet browser. Before attending the event, test that your microphone and headphones are working correctly. If possible, use a headset microphone and headphones to avoid echo and background noise.
For best experience use wired internet connection. If using wi-fi connection, disconnect other devices connected to the same wi-fi stream.
Only activate (unmute) your microphone if you need to say something.
Please visit the ZOOM help center in case you need additional information or check a short technical instructions manual.
Run a quick test meeting to get comfortable on camera, check your audio and video so you can be heard and seen perfectly.DRESS CODE
It is advised to wear business attire, avoiding flashy colors fabric with patterns (dots, stripes etc.).
SETUP & LIGHTNING
Pick a quiet environment where you won’t be disturbed, mute TV, mobile phone and landlines. Best to have light colored uniform background e.g. white/grey wall.
Clear good light on front face, avoid back light.
JOINING THE MEETING
One day prior the event you will receive an invitation with link to join the meeting and a password. Please log on to the conference 30 min. in advance for the final technical checks.
When registering for the ZOOM meeting please write your correct first and second name followed by the country/organisation you represent as this name will be visible on the screen to all participants when you take the floor during the meeting (e.g. Eleni FEDOROVA - BELGIUM).
To be accepted to the event, your profile name for the ZOOM meeting must correspond to the name submitted on the registration platform of the event.
